Installing and Signing into the Zoom Application

Editing your Zoom Profile and Creating a Personal Meeting ID

To use the UCLA licensed version of Zoom, you need a UCLA Zoom account, which is different from the free commercial accounts offered on the main Zoom website. If you are a UCLA Ed&IS member and not sure whether you already have a UCLA Zoom account, contact ETU.

Navigate to https://ucla.zoom.us/. Click the First time user? Log In button.

If you are a UCLA employee, you will be assigned a Pro account. Nonemployees will be assigned a Basic account. See the differences: https://zoom.us/pricing.

Install the Zoom application: https://ucla.zoom.us/download on your computer or mobile device.

Launch the Zoom application. If you are hosting or participating in a meeting that already has a Meeting ID, click Join a Meeting and enter the ID. If you are starting or scheduling a meeting, click Sign In.

On the Login screen, click Login with SSO. Do not enter your email/password on the
left.

Enter the email address associated with your UCLA Logon ID. If you are not sure which email address to use, click Manually enter domain and enter UCLA. Click Continue. 
On the UCLA Logon ID screen, enter your username and password, click Sign In.
Note: If you stay signed into the application, you won’t need to do steps 3 and 4 again. If you log out of the application, you will see these prompts next time you launch the application.

You will be taken to the Home screen where you can Start new meetings (with and without video), Schedule new meetings, or Join meetings already in progress.

Zoom meetings can be scheduled in advance. Scheduling a meeting allows you to get the Meeting ID number in advance to give out to participants. Meetings can also be recurring so you do not have to give out a new Meeting ID number or link if you want to hold Office Hours.

Click the Schedule button on the Home screen.

Enter your start and duration information, check Recurring meeting if appropriate. Enter your Video and Audio Options preferences.

If you want your participants to be able to join the meeting before you, click Advanced Options and check Enable join before host.

Select your desired calendar invitation format according to your calendaring software. If you don’t use a calendaring application or would prefer to send the invitations manually, select Other Calendars.

If you selected a specific calendar, your invitation will open in that application so you can address it to your participants. If you selected Other Calendars, you will be given a block of text to copy and paste.

To view and edit upcoming meetings, click Meetings on the bottom of the Home screen.

Editing your Zoom Profile and creating a Personal Meeting ID

Your Personal Meeting ID is assigned to you automatically as a permanent virtual room. You can start it at any time or schedule it for a future use. With a UCLA Zoom Pro account, you can change that ID. You can also create an easy-to-remember vanity URL to use as a Personal Meeting ID.

Navigate to https://ucla.zoom/us and log in using your UCLA Logon ID and password.

In the left navigation bar, click My Profile.

Click Edit under Personal meeting ID, and enter a 10-digit number. (It’s common to choose your office or personal phone number for ease of remembering). To always use this ID rather than a randomly generated Meeting ID, click Use Personal Meeting ID for instant meetings.

Click Customize under Personal Link to enter your preferred name.

You can email, text, or voice the PMI URL to someone and quickly begin a Zoom session. To host virtual office hours, you can post that link to your course page or syllabus so students can always reach you in the same place.

Launch the Zoom application and sign in if necessary.

On the Home Screen, click either Start with video or Start without video. Starting with video will turn on your camera immediately. Starting without video allows you to turn your camera on manually.

Click Meetings in the bottom navigation bar. Hover your mouse over the meeting you want to begin and click Start

There are three ways to join a Zoom Meeting if you are not the host:

Click on the URL link that is in the description section of the calendar invitation or calendar reminder.

You can copy the URL link and paste it into your browser's address bar 

Or you can start the meeting from your zoom client directly. Click on Join and then enter your scheduled meeting ID to start the meeting (The meeting ID is the 9-digit number at the end of the URL link.)

On the Home Screen, click Settings and select Audio and/or Video. The dropdown menus display your available options and allow you to test your microphone and speaker.

Click the ^ (up arrows) next to your Mute and Stop Video buttons at the bottom of the screen.

If you host a meeting that ends your session after 40 minutes, it means you are logged in with a Basic account. If you are a UCLA employee, you were automatically assigned a Pro account, which allows unlimited meeting duration. You are probably not logged in with the correct account.

In the Zoom application, click the down arrow next to your name. Select Switch Account.

Follow steps 3-4 of the UCLA Login Instructions:

To have unlimited duration meetings, the host must have a Pro account and be logged into it when they schedule the meeting. The host must remain in the meeting. The meeting will also time out at 40 minutes if only the host is in the room.

Pro Account Meetings are available for all UCLA employees. Large Meeting and Webinar add-on licenses can be purchased by UCLA individuals or groups for $200 per year.

UCLA has licensed a version of the file storage and sharing service Box (similar to Dropbox), that is available to the UCLA community. It has been vetted for use with most university data  (see Allowable Data Storage below).  

Unlimited storage​, max file size of 15GB. 

Share files ​with colleagues inside and outside UCLA with specific access levels and permissions.  

Collaborate​ with colleagues using built-in version tracking, comments, tagging, and custom metadata.  

Sync files​ with your local hard drive for automatic backups and access across devices. 

Access​ your folders on the Box website, on any computer with Box Sync installed, and on mobile devices.

UCLA’s contract with Box allows users to store most types of university data, with a few exceptions.

Creating and Accessing UCLA Box Accounts  

Because UCLA’s Box service is different from the commercial Box service, you will need a UCLA  Box account to use it.      

To create and access a UCLA Box account,   

Go to ​https://ucla.account.box.com/login​. 

Wait to be directed to the UCLA Logon page. 

Enter your UCLA Logon ID and Password.    

Troubleshooting: ​When you are logging in for the first time, if you are returned to the original screen with a red “Invalid Credentials” error message, see the next section. 

If you receive a red “Invalid Credentials” error message while creating a UCLA Box account, it’s likely because you already have a non-UCLA Box account using your official UCLA Email Address.  

Make sure you know your official UCLA email address (which might not be your @ucla.edu email):  

Log in to the ​UCLA Logon ID management page​.  

Select "Manage UCLA Logon ID" and login with your UCLA Logon ID and password.  

Take note of your official email address, listed fourth from the top, just below your  ID number. 

To KEEP your existing personal Box account and add a UCLA Box Enterprise account:  

Change the email address associated with your personal account​ to use an email address other than your official email address​.  

After you have changed your personal account email address, log into  https://ucla.account.box.com/login​ with your UCLA Logon ID and password to create and start using your Box at UCLA. 

To REPLACE your existing personal Box account with a UCLA Box account: 

Change the email address associated with your personal account​ to use an email other than your official email address or any other UCLA email address.  

After you have changed your personal account email address, login to  https://ucla.account.box.com/login​ with your UCLA Logon ID and password to create and start using your Box at UCLA.  

Manually copy any files you want to keep from your personal account to your UCLA  Box Enterprise account.  

Once all the preceding steps have been completed, ​you can delete your personal account​.  

Do not delete/deactivate your account if your official email address is still associated with it as that will tie up the email address needed to create your UCLA Enterprise Box account.  

Your UCLA Box account is tied to your official UCLA email address. While you cannot change your primary email address in UCLA Box, it is possible to add multiple email addresses as "aliases," which other people can use when inviting you as a collaborator. This ensures all your emails point to one account and prevents the creation of another UCLA Box account. 

To add an email alias to your UCLA Box account:  

In the upper right-hand corner, click on the ​Gear Icon​, then select ​Account Settings from the drop-down menu

Scroll down to the ​Login and Email Addresses​ section and click on the ​Add more emails​ link. 

Enter your email address in the text field and click ​Save. 

A confirmation email will be sent to the address you just added. Until you verify the address, it will appear greyed out on the Account Settings page and will not be used as an alias.

To confirm the change, check the inbox of the alias address and look for an email with the subject "Verify email for Box account:" and click the ​Verify Your Email »  button included in the message.  

A Box login page will open with your official address filled in. Although it will not look like the UCLA Box login page, it will still log you into your UCLA Box account.  Enter your UCLA Logon and password and click ​Log In​.  

You should be brought to a page with the message ​Your email address is now verified​. You can click the ​Continue to Your Account​ button to finish logging into your account.  

You can now proceed with entering additional alias emails by repeating the above steps. If you would like to remove an alias address, simply go back to the ​Account Settings​ page, hover over the alias, and click the ​Remove​ link that appears to the  right of the address

You can share files with collaborators who do not have UCLA Logon IDs. Your colleague can  have any type of Box account, either a free commercial account (​https://www.box.com​) or one  from their institution.     

When you send an invitation to someone outside UCLA, the link will lead to the UCLA Login  Screen. They should click “​Not a part of University of California, Los Angeles?​” to log in with  their email address or institutional login.   

You can create and share files with your personal accounts, but if you are a group who would prefer your folders not be stored on an individual account, you can request a folder on the departmental space. You will still have co-ownership and administration permissions. This is a good option when you have projects that may last beyond one person’s appointment.    

If you are a UCLA Ed&IS member, contact ETU to set up a folder on the departmental space. You  will need to provide:  

The name and email address of at least one person with a UCLA Box account who will  be in charge of the folder and have the ability to generate and send invitations to  colleagues.

The School of Education & Information Studies' faculty, staff, and students are assigned UCLA Ed&IS accounts by ETU. The logon and password for each account can be used for the following UCLA Ed&IS services: 

Instructions for Creating a New Ed&IS Account 

Select “I don’t have an Ed&IS account and wish to request one.”

Enter your UCLA ID Number. If you do not have one, please see ETU and they can help create a visitor account for you.

Fill out the appropriate online form to request your account. 
2nd option — Students in UCLA Ed&IS program
3rd option — Visitor (temporary, guest accounts requiring a sponsor)

Wait for an email notifying you of your account activation status.

Log in at http://people.gseis.ucla.edu with your current UCLA Ed&IS username and password.

Provided you successfully logged in, on the resulting page you will see a password change area that looks like the image below. 

Your new password will still have to be a minimum of 8 characters, contain a numeral, an uppercase character, and a special character (like punctuation). However, your password does not have to be difficult to remember or cryptic!! It is to your benefit to make your password personal, memorable, and easy to type.

By far, the most important component of a secure password is length. The longer a random set of characters is, the more difficult it is to crack. We encourage you to make your passwords longer than 8 characters. After all, if it is easy to type, it doesn’t matter!

Here is a great site about choosing a secure password — and it will even show you how long it would take to hack yours!

Also, common words are discouraged. Even if you include special symbols, numerals, etc., if their position in a string would resemble a common word, then you should know that the hackers are on to you. Be creative, and make your new password longer.

The change will be immediate. To log into your desktop computer or a lab computer you will use the new password. Also, after you are logged in to your computer, any UCLA Ed&IS resources that require a username and password to access will immediately want the new password — file servers, UCLA Ed&IS Email, etc. On first run, your email program (Apple Mail, UCLA Ed&IS Web Mail, Thunderbird, Outlook) will fail to retrieve your email. You will probably be prompted for the new password.

Your password change will not have any effect on any services where you use a BOL login or UCLA Logon ID (such as eTimesheet).

ETU does not have access to your password and cannot retrieve it for you. If you forget your password, you will need to reset it. To reset your password, contact ETU.

Your UCLA Ed&IS logon gives you access to the ETU computer labs and print credit purchasing. It applies only to UCLA Ed&IS services. For University services such as Bruin Online, Wi-Fi, myUCLA, or CCLE, use your UCLA Single Sign On. 

Undergraduate and visiting students who are enrolled in at least one Education or Information Studies course can set up a temporary UCLA Ed&IS account to use during the quarter. Please bring your Bruin ID Card to the ETU office in Moore 3051 to set up a temporary account.

Your UCLA Ed&IS logon can be used to access your home folder, a 1GB folder of personal storage space on the "staff" or "faculty" server, according to your position. Your logon ID and password can also be used to access your home folder from UCLA Ed&IS networked computers, and from off-campus locations. Your UCLA Ed&IS logon is also used to access shared folders on the research server and the WebEvent Calendar.

The files are restored to the computer you’re currently using

Backup and Restore

Poster printing is available through the UCLA Psychology department and ASUCLA in Ackerman Union. More information on on-campus poster printing is at the Division of Undergraduate Education, and the Library websites.

Students who have access to the UCLA Ed&IS general computer labs (including the IS Lab for Information Studies students) may use the laser printers by purchasing pre-paid laser print credits. Print credits cost $.05 per page. The minimum cost is $5 for 100 pages. Credits can be purchased with a credit card or electronic check.

Purchasing Print Credits: Print credits may be purchased at any time with a credit card or electronic check from the UCLA Ed&IS Print Credits website (http://printpay.gseis.ucla.edu). Print credits are available in $5 increments (up to $30) or $10 increments ($40-$100).

Redeeming Print Credits: Print credits are valid as long as the student maintains UCLA Ed&IS enrollment. Any print credits remaining at the end of the academic year will be valid during the next academic year as long as the student is enrolled in at least one fall quarter course. There are no refunds for unused print credits, so if you are unsure of your printing needs, please purchase credits in small increments throughout the year.

Credit Balance: Any time a student is logged into a UCLA Ed&IS lab computer, a counter on the desktop displays the remaining print credits.

 About the UCLA Ed&IS Computer Labs

UCLA Ed&IS provides two computer labs with varying software (see software list below) supported by the Educational Technology Unit. Labs are open to faculty, staff, and students with valid UCLA Ed&IS logins. Reservations for the labs can be made for courses and workshops, but any time the labs are not scheduled for a reserved event, they are open for individual use. Labs are open Monday-Friday, 8:00-5:00pm. After hours, they can be accessed with the doorcode provided on your login page.

About the General Use of Computer Labs

ETU maintains two general use computer labs in GSE&IS 118 and Moore 3120. The GSE&IS 118 Lab has HP EliteOne 1000 G2 All-In-One (AiO) computers which run Windows 10. The Moore 3120 Lab has iMacs which run macOS High Sierra (10.13). Use of the computer labs in the school is limited to full-time UCLA Ed&IS students, faculty, and staff, and students outside UCLA Ed&IS taking one or more UCLA Ed&IS courses for the quarter.

Lab availability is subject to prior reservation. Check the calendar for a current list of reservations.

ETU strives to enhance instruction in our classrooms with a combination of hardware installation, training, and support. 

About our Epson Brightlink Interactive Projectors

Epson DC-20 portable document cameras are available for checkout through ETU using the equipment request form. The portable document cameras can be used in any classroom or meeting room with a projector, excluding Moore 3027 which has a built-in doc cam.

1. Unfold and set up the document camera in desired location, plug in power. From the faceplate on the wall, choose the HDMI cable and plug the other end into the labeled HDMI port on the back of the document camera.

2. Power on the document camera with the button on the base, and power on the projector using the control panel on the wall. If the camera isn't displaying, press the "Source Search" button and choose "HDMI"

3. If necessary, focus and zoom buttons are on the base, and the light switch is on the camera head. 

4. When finished, power off the projector by pressing the power button twice. Power off the projector with the control panel. Remove cables from the document camera. Don't forget to leave the HDMI cable in the room. Re-fold the projector like this to fit into the bag:

Note: If you plan to switch between the document camera and a computer on the projector, you can also keep your laptop connected wirelessly or by using the VGA cable. Press the "Source Search" button on the wall to move between the computer and document camera.

Classroom Technology Instructions — BrightLink Projectors

All UCLA Ed&IS classrooms (except Moore Hall 3027, 3340 and GSE&IS 111) are equipped with wall-mounted Epson Brightlink interactive projectors and AppleTVs for simple wireless connectivity:

wirelessly from an Apple laptop (with Airplay or Epson software)

wirelessly from an iOS device (with Airplay)

wirelessly from a Windows laptop (with Epson software)

Wireless Projection from an Apple Laptop (using Airplay)

Note: Only one device can be connected to AirPlay at a time, but switching between devices is simple —the first device disconnects via the AirPlay menu, and another device can connect, prompting a new numerical code (See steps #4 and #5)

1. Check to see if your laptop allows AirPlay Mirroring
2. Power on the projector, and from the Epson remote or wall control pad, press Source Search and select Display Port. 
3. Using the Apple remote in the classroom, press Menu to display the AppleTV home screen.
4. On your device, connect to the EDUROAM wireless network, and log in using your UCLA Logon ID

  5. Click Airplay icon in the top menu bar and choose your classroom 

(If your airplay menu is not already in your menu bar, go to System Preferences > Displays and check the box for Show mirroring options in the menu bar when available.)

6. A numerical code will display on the projector — enter that code into the popup on your laptop.

If your laptop screen doesn’t display, choose the following from the Airplay menu:

7. To disconnect, click the AirPlay menu in the toolbar and select Disconnect AirPlay Display.

Note: you must disconnect when you are finished so the next user can connect!

Wireless Projection from an iOS device using AirPlay

1. Check to see if your iOS device supports AirPlay.

2. Power on the projector, and from the remote or wall control pad, push Source Search to select DisplayPort.
